How Element Uses AI to Streamline Fleet Maintenance Decisions
AI-powered decision support helps Element maintenance advisors reduce research time, improve repair consistency, and potentially speed vehicle uptime for fleet clients.

Maintenance advisors have traditionally relied on multiple systems to verify warranty coverage, repair history, client policies, and pricing before authorizing repairs. Artificial intelligence is beginning to simplify that process by bringing the information together in one place.
Element Fleet Management's new DigiAdvisor is designed to do exactly that. The AI-powered decision support tool helps Element maintenance advisors evaluate repair orders by bringing together warranty information, repair history, client policies, supplier data, and pricing rules into a single recommendation.
While fleet clients won't log into DigiAdvisor or interact with it directly, Element says they should benefit from faster maintenance decisions, stronger adherence to fleet policies, and improved cost control.
AI and the Maintenance Workflow
DigiAdvisor is embedded within Element's maintenance authorization workflow rather than offered as a standalone application.
When a repair facility submits an estimate, let’s say, a brake replacement, DigiAdvisor evaluates each line item against the client's maintenance policy, authorization limits, pricing rules, warranty considerations, prior repair history, and supplier information.
An Element maintenance advisor receives a summary of the repair, any issues requiring attention, a recommended course of action, and the reasoning behind that recommendation.
Depending on the circumstances, DigiAdvisor may recommend approving the repair, negotiating the quoted price, declining the work, or routing the estimate to an Element mechanic for additional technical review.
Routine repairs that meet established policies and authorization limits can be approved automatically, while more complex situations remain with Element's maintenance specialists.
"The challenge isn't accessing data," said Manpreet Rana, vice president of Fleet Care and Logistics at Element Fleet Management, in announcing the new capability. "It's turning fragmented information into timely, confident decisions."
Reducing Manual Research
Before DigiAdvisor, maintenance advisors often had to move between multiple systems and documents to answer key questions before authorizing a repair:
- Is the repair covered by warranty?
- Does the estimate comply with the client's maintenance policy?
- Is the quoted price within approved limits?
- Has similar work recently been performed?
- Are there any client-specific exceptions or supplier considerations?
DigiAdvisor assembles that information automatically and provides an explainable recommendation based on the available data.
For example, the system may identify that a repair estimate exceeds a client's pricing threshold or highlight that a similar repair was recently completed and could indicate a repeat-repair issue. It also identifies the policy or business rule supporting each recommendation, giving advisors visibility into why a particular action is suggested.
Element emphasized that AI is intended to support — not replace — human judgment.
"We use rules where a decision can be structured and AI where interpretation is required," Rana said in response to questions from Automotive Fleet. "DigiAdvisor strengthens our experts and core fleet systems; it does not replace them."
Benefits for Fleet Managers
Although DigiAdvisor currently operates behind the scenes, fleet managers may notice its impact through day-to-day maintenance operations.
According to Element, the system is designed to speed repair authorizations by reducing manual research, improve consistency in how client maintenance policies are applied, and identify warranty opportunities before work is approved. It can also flag pricing concerns and repeat repairs earlier in the authorization process, allowing maintenance advisors to spend more time on complex cases that require technical judgment.
Element said early deployments have shown a meaningful reduction in the time advisors spend researching and processing repair orders while improving the consistency of warranty, pricing, repeat-repair, and policy reviews.
For now, DigiAdvisor is an internal tool used by Element employees rather than fleet clients. However, the company said it plans to extend selected DigiAdvisor capabilities into the client experience over time.
