Beyond the Hype: How AI Can Make Fleets More Productive

Bradley Northrup of the City of Carlsbad, California, discussed how AI could change the way fleet managers interact with their data and manage day-to-day operations. Carlsbad operates a municipal fleet of nearly 500 vehicles with a team of approximately 10 employees, and Northrup sees AI as an opportunity to give small fleet teams greater capacity. Potential applications range from creating reports and consolidating data to quickly answering specific questions about vehicle utilization, fuel consumption, emissions, and other fleet metrics.

For Northrup, however, successfully adopting AI requires more than access to the technology. Fleets need reliable data sources, and managers must know their systems well enough to ask specific questions and evaluate the information returned. He pointed to data auditing as one particularly promising use case, with AI potentially helping fleets identify missing or inconsistent vehicle information, VIN errors, warranty eligibility, and other anomalies that would otherwise require significant manual review.

Looking ahead, Northrup views AI less as a replacement for fleet employees and more as another tool that can enhance their capabilities. He said the technology could allow technicians and fleet staff to respond faster, improve vehicle availability, manage data more effectively, and potentially raise productivity standards. AI could also help fleet managers interpret new regulations and understand their real-world impact more quickly, giving already-busy teams additional capacity to manage an increasingly complex environment.
