Fleet Hack #1: AI-Generated Fuel-Saving Posters

Use an AI tool such as ChatGPT or Claude to quickly generate collateral with simple reminders for drivers.

This is what Ernie Garcia did. The fleet manager for Gothic Landscape told Automotive Fleet he created AI-generated posters featuring reminders to reduce idling, accelerate smoothly, maintain steady speeds, and plan routes efficiently. The posters were displayed at all company locations to reinforce everyday driving habits.

The fleet also recognized that higher fuel prices affect employees' personal vehicles, so the messaging was designed to help drivers save money both on and off the job.

Fleet Hack #2: Create Your Own Internal Sounding Board

Technology helps identify the trends, but who notices them first? The people closest to operations. Regular communication with local administrators encourages the type of field feedback that keeps everyone aware and involved.

Lisa Kneggs of Farmer Brothers Coffee recommends creating a "fleet sounding board" by actively seeking feedback from employees in the field. While gathering input may occasionally surface criticism, it can also reveal inefficiencies, recurring issues, and opportunities for improvement that might otherwise go unnoticed. Those in the field often know when an employee has left the company, switched vehicles, or when a vehicle has been sitting unused, helping fleet managers respond more quickly and keep records up to date. 

Fleet Hack #2: Manage Your Time and Attention…Not Every Vehicle

Recent Fleet Visionary nominee Jamie McKay blocks time in her calendar daily for strategic planning, emails, and recurring fleet reviews, which helps prevent urgent requests from consuming the entire workday. 

The fleet manager from Aptive Pest Control also says, "I don't try to look at all 2,400-plus vehicles every day. I focus on the handful that need attention, which keeps me productive while ensuring the biggest issues are addressed first." 

This can look like managing by exception. Instead of reviewing every vehicle, focus only on those that require immediate attention, such as overdue preventive maintenance, active repairs, upcoming registration renewals, or unusual fuel activity. 

For fleets with large vendor networks, scheduling recurring 15- to 30-minute check-ins can also help. Even if there's nothing pressing to discuss, the meetings create an opportunity to strengthen relationships and ensure dedicated time is available when issues arise.
